BINGO/OFFICE COORDINATOR

  • JOB SUMMARY

    Reporting to the General Manager, the Bingo/Office Coordinator is responsible for the effective, accurate and compliant administration of NNBY/CHON-FM's radio bingo operations while also providing front-line office and administrative support. The position coordinates bingo card inventory, distribution and seller relationships; supports game-day operations; maintains complete lottery records; works closely with Finance on reconciliations and reporting; and serves as a professional first point of contact for the public, staff, contractors, Board members and community partners.

  • KEY RESPONSIBILITIES

    A. Radio Bingo and Lottery Administration

    • Coordinate all administrative and operational aspects of NNBY/CHON-FM radio bingo in accordance with applicable license conditions, internal procedures and management direction.
    • Maintain adequate bingo card stock; coordinate ordering with approved vendors and monitor inventory levels.
    • Maintain accurate card inventory records, including card series/serial numbers, quantities received, issued, returned, sold, voided or otherwise accounted for.
    • Establish and coordinate weekly ordering, packaging, shipping and distribution schedules for community sellers.
    • Verify card counts and serial numbers before weekly distribution and maintain supporting distribution records.
    • Recruit, coordinate and maintain effective working relationships with authorized bingo sellers in participating communities.
    • Maintain an up-to-date seller/contact list and ensure sellers receive appropriate instructions, cards and operational information.
    • Prepare bingo scripts, game sheets, control documents and other required paperwork before each bingo.
    • Confirm that bingo phones, bingo equipment, computers and other required systems are operational before game time and promptly escalate technical issues.
    • Support the orderly conduct of each game, including verification of called numbers and preliminary review of winning claims in accordance with approved procedures.
    • Maintain complete and organized bingo records to support management review, financial reconciliation, regulatory reporting and audit requirements.
    • Work closely with the Finance Manager/Finance Department to reconcile card distributions, sales, seller remittances, unsold/returned cards, prizes and other bingo-related transactions.
    • Ensure bingo revenues and supporting documentation are submitted to Finance promptly and are complete, traceable and properly organized.
    • Assist with preparation of information required for lottery/gaming reports, license renewals, internal reviews and external audits.

    B. Office and Administrative Coordination

    • Provide reception services, including answering and directing telephone calls, taking messages and responding appropriately to general inquiries.
    • Welcome visitors and provide professional front-line assistance to members of the public, community partners and other stakeholders.
    • Receive, screen and direct incoming correspondence and inquiries.
    • Coordinate travel arrangements for staff, directors and special guests, including related administrative documentation.
    • Schedule and prepare for meetings and provide administrative or secretarial support, including meeting materials and notes/minutes where requested.
    • Coordinate procurement of routine office supplies and approved marketing materials in accordance with NNBY procedures.
    • Help maintain common office areas in a professional, orderly and uncluttered condition.
    • Provide other reasonable administrative and operational support as assigned by the General Manager.
  • KNOWLEDGE, SKILLS AND EXPERIENCE

    The successful candidate must be able to represent Northern Native Broadcasting, Yukon/CHON-FM in a professional and courteous manner and work effectively in a fast-paced, community-oriented environment.

    • Three to five years of relevant administrative, office coordination, retail, comparable experience.
    • Strong organizational, record-keeping and attention-to-detail skills, particularly when handling numbered inventory, cash-related records and deadlines.
    • Strong computer skills, including Microsoft Word, Excel, Outlook and Internet-based systems, with the ability and willingness to learn additional programs.
    • Excellent client service, verbal and written communication skills.
    • Ability to work accurately and independently with limited supervision while meeting recurring weekly deadlines.
    • Ability to establish and maintain positive working relationships with staff, Board members, community sellers, consultants, vendors, businesses and other agencies.
    • Valid Class 5 driver's License.
